Cancellation & Refund Policy

At White Lotus Yoga Studio by Vicky Tomsky, we value the time, preparation, and care that go into every class, private session, workshop, and retreat. Our cancellation policy helps us manage bookings fairly and honour the commitments made to our students, teachers, venues, and suppliers.

By making a booking or purchasing a membership, class package, workshop, or retreat, you acknowledge that you have read and accepted the applicable cancellation terms.

1. Regular Yoga Classes

Cancellation deadline: 10 hours before class.

• Please cancel your reservation at least 10 hours before the scheduled start time.
• Cancellations made less than 10 hours before class may result in the class being deducted from your membership or class package.
• If you do not attend a booked class and have not cancelled, the class may be deducted from your membership or package.
• If White Lotus Yoga Studio cancels a class, you will not be charged for that class. An appropriate replacement or credit arrangement will be communicated where applicable.

These rules help ensure that available spaces can be offered to other students.

2. Memberships & Class Packages

Memberships and class packages must be used within their stated validity periods.

• Unused classes expire at the end of the applicable validity period and cannot automatically be carried forward.
• Memberships and packages are generally non-refundable after any applicable statutory withdrawal period has expired.
• Choosing not to attend, changing your schedule, or being unable to use all your classes does not automatically entitle you to a refund or extension.
• Membership freezes may be considered in exceptional circumstances, subject to prior written request and approval by White Lotus Yoga Studio. Requests must be made before the proposed freeze period begins. Retroactive freezes are not permitted.
• Membership freezes are limited to a maximum of one calendar month per membership term, subject to the studio’s approval.

Any applicable statutory withdrawal rights and other mandatory consumer rights remain unaffected.

3. Drop-In Classes

Drop-in class credits are valid for three months from the date of purchase, unless a different validity period is stated at the time of purchase.

Unused or expired credits cannot automatically be extended or refunded, subject to applicable law.

4. Workshops, Courses & Teacher Trainings

Cancellation, refund, and transfer conditions for workshops, courses, and teacher trainings will be communicated at the time of booking.

Where the applicable booking terms allow a credit or transfer, requests must be submitted in writing within the specified notice period. Where a 72-hour deadline applies, requests must be received at least 72 hours before the event.

Credits and transfers are not automatic and require the conditions stated in the relevant booking terms to be met or written approval from White Lotus Yoga Studio.

If you cannot attend, please contact the studio as early as possible. Any available alternative will be considered according to the event-specific terms and applicable law.

5. Retreats — Deposits, Cancellations & Transfers

Retreats involve advance planning and financial commitments, including accommodation, venues, teachers, activities, transport, and other suppliers.

Deposits

All retreat deposits are non-refundable once paid, subject to any mandatory rights or remedies under applicable law.

Payment of a deposit confirms your booking and acceptance of the cancellation conditions provided for the specific retreat.

If you cancel, decide not to attend, or are unable to participate for any reason, your deposit will not be refunded, subject to applicable law.

Cancellation of a confirmed booking

If you cancel your retreat booking, any additional payments and any applicable cancellation charges will be handled in accordance with the cancellation terms communicated for that specific retreat. The applicable terms may take account of the timing of your cancellation and non-recoverable costs or commitments associated with your booking.

Please read the individual retreat’s payment schedule and cancellation conditions carefully before paying your deposit or any subsequent instalment.

Transfer to another participant

You may request to transfer your booking to another person. All transfers require prior written approval from White Lotus Yoga Studio.

The replacement participant must meet any applicable participation requirements. Additional administrative, accommodation, or supplier costs may apply.

Transfer to another White Lotus retreat

You may request to transfer the amount paid toward a different retreat organised by White Lotus Yoga Studio. Such transfers are not guaranteed and require written approval.

Approval depends on availability, the price and payment terms of the new retreat, any price difference, and non-recoverable costs or commitments already incurred for the original booking.

Any approved transfer, applicable balance, additional payment, and conditions will be confirmed in writing. Unless otherwise agreed in writing, an approved transfer does not entitle you to a cash refund.

After arrival or commencement

Once you have arrived at a retreat, checked in, or begun participating in the programme, no refund will be provided for leaving early, missing sessions, deciding not to continue, or not using the remaining part of the programme, subject to mandatory rights under applicable law.

Cancellation or changes by White Lotus Yoga Studio

If White Lotus Yoga Studio cancels a retreat, we will inform registered participants as soon as reasonably possible. Any refund, rescheduling, or alternative arrangement will be handled in accordance with the booking terms and applicable law.

If significant changes are required, we will communicate them to participants as soon as reasonably possible.

6. Private Yoga, Hypnotherapy & Ayurvedic Sessions

Cancellation and rescheduling conditions for private sessions will be communicated at the time of booking.

If you need to cancel or reschedule, please notify White Lotus Yoga Studio in writing as early as possible.

Any applicable notice period, late-cancellation charge, or rescheduling option will be determined by the terms agreed when the appointment was booked.

If no specific cancellation terms were provided at booking, the studio will handle the request in accordance with the applicable agreement and law.

7. Online Purchases & Statutory Withdrawal Rights

For services purchased online, consumers may have a statutory right to withdraw from the contract within 14 days, depending on the type of service and the circumstances of the purchase.

Where applicable, withdrawal requests must be submitted in writing within the statutory period.

If you expressly request that a service begin during the withdrawal period, you may be required to pay for the portion already provided where permitted by law. If a service is fully performed during that period, the right to withdraw may be lost only where the required legal conditions, including any necessary express consent and acknowledgment, have been met.

Please contact White Lotus Yoga Studio if you wish to exercise a statutory withdrawal right.

8. Events Outside the Studio’s Control

If a class, workshop, retreat, or other service is affected by circumstances outside White Lotus Yoga Studio’s reasonable control, such as extreme weather, natural disasters, government restrictions, venue closures, or major transport disruptions, we will communicate the situation as soon as reasonably possible.

Where appropriate, we may offer a rescheduled date or an alternative arrangement. Any refund or other financial remedy will be handled in accordance with the applicable booking terms and mandatory law.

9. How to Submit a Cancellation Request

All cancellation, rescheduling, and transfer requests must be submitted in writing.

Please include:

• Your full name.
• The class, appointment, workshop, or retreat you booked.
• The date of the booking.
• Your request and the reason, if relevant.

10. Relationship to the Terms & Conditions

This Cancellation Policy forms part of the booking conditions of White Lotus Yoga Studio and should be read together with the studio’s full Terms & Conditions and any specific terms provided for an individual retreat, workshop, training, or service.

Where event-specific terms are provided before booking, those terms will apply to that event alongside this policy. In the event of a conflict, the terms will be interpreted consistently with applicable law.

Nothing in this policy excludes, restricts, or overrides any consumer right or legal remedy that cannot lawfully be excluded or restricted under applicable Greek or European Union law.

Before you publish: The most important missing detail is a specific cancellation schedule for each retreat—for example, what happens to instalments paid beyond the deposit if someone cancels 90, 60, or 30 days before arrival. Your existing terms do not set one universal schedule, so I have not invented one. For the strongest practical protection, include clear, retreat-specific cancellation terms in the booking page and confirmation before accepting payment.
